YearFlow is not just another calendar app. Unlike standard calendars that trap you in daily or monthly boxes, YearFlow displays your entire year as a continuous timeline. This “linear” view helps you spot patterns, prevent burnout, and design a life (or ministry) that flows rather than just happens.

🚀 Getting Started

No Installation Required

1. Save the YearFlow.html file to your computer (e.g., in your Documents folder or Applications folder).
2. Double-click it to open it in your web browser (Chrome, Safari, Edge, etc.).
3. That’s it! You are ready to plan.

🎨 Complete Control: Customizing Categories

One of YearFlow’s most powerful features is its flexibility. You define what matters to you.

How to Manage Categories

1. Click the Gear Icon (⚙) in the top menu.
2. Rename: Type over any existing name to change it.
3. Recolor: Click the color box to pick a new color for that category.
4. Reorder: Click and drag the handle (⋮⋮) next to any category to move it up or down. This updates the order of the buttons in your main header.
5. Add/Delete: Use the buttons to add new categories or remove old ones.
6. Global Theme: Use the “Color Theme” dropdown to instantly apply a cohesive palette (like Pastel, Earth Tones, or Bold) to all your categories.

View Presets (Super Categories)

Do you want to see just your Work schedule, or just your Church events? You can create View Presets to group multiple categories together.

• Setup: In Settings, go to “View Presets.” Create a group (e.g., “Church Mode”) and check the categories that belong to it.
• Usage: A new button will appear in the main header. Clicking it toggles those specific categories ON.
• Additive Logic: You can stack views! Click “Church” to see ministry events, then click “Family” to layer your personal events on top. Click them again to toggle them off.

💡 Use Case: Adapting for Church & Ministry

YearFlow is exceptional for church leadership teams who need to see the “rhythm” of the ministry year at a glance. You can rename the default categories to match your specific needs:

• Sermon Series: Track 4-6 week blocks for preaching topics.
• Youth/Kids: Visualize camps, VBS, and retreats to ensure they don’t overlap with other major events.
• Missions: Highlight mission trips or awareness months.
• Discipleship: Track semester-long classes or small group seasons.
• Staff: Mark off staff retreats or conferences.
• Liturgical Year: The “Holidays” category already includes major PCA observances like Advent, and Easter.

🛠 Core Features

Adding Events

• Click on any day to add an event.
• Type your event title.
• Select a category.
• Check “Annual” if this is a birthday or anniversary. The app will automatically create copies of this event for every year through 2030.
• Press Enter or click Save.

Editing & Moving (Drag & Drop)

• Move: Click and hold any event bar to drag it to a new date.
• Resize: Hover over the left or right edge of an event bar until you see a resize cursor, then drag to make the event longer or shorter.

Navigating Your Year (View Controls)

Top left controls allow you to adjust how the calendar fits on your screen:

• Fit to Screen (⤢): Automatically scales the calendar to fit your entire year (all 12 months) onto the screen without scrolling. Great for projectors or dashboards.
• Zoom (+ / -): Manually adjust text size.
• Today: Instantly jumps to the current month and highlights today’s date.
• Start Month: Use the dropdown (top right) to change the start of your year (e.g., set to “Sep” for an Academic Year or Church Fiscal Year).

The “Theme” Column

On the far left of the calendar, there is a text box for every month. Use this to set a Monthly Intention or Focus (e.g., “Missions Month,” “Budget Planning,” “Rest”).

📊 Life Balance Dashboard

Click the Chart Icon (📊) to see a breakdown of your year. It calculates exactly how many days are dedicated to each category. This is a “reality check” to ensure your schedule matches your stated priorities.

🔥 Burnout Heatmap

Click the Flame Icon (🔥) to toggle the Heatmap.

• Yellow Stripes: Days with 2 overlapping events.
• Red Stripes: Days with 3+ overlapping events (Danger Zone).
• Use this to identify weeks where you have accidentally over-committed yourself.

🏖 PTO Hacks (Vacation Optimizer)

Click the PTO Hacks button to toggle automatic vacation suggestions.

• Orange Bars will appear suggesting optimal days to take off.
• Example: If July 4th is a Tuesday, it will suggest taking Monday off to create a 4-day weekend for the cost of 1 vacation day.

💾 Saving, Clearing & Data Safety

Where is my data?

YearFlow is an offline privacy-focused tool. Your data is stored in your browser’s cache. It is not stored on a cloud server.

⚠️ Important: If you clear your browser history/cache or switch computers, your calendar will appear empty.

Backup & Restore

1. Export: Click the Export button to download a timestamped .json file (e.g., year_flow_2026-05-12.json). Keep this safe! It contains your events, categories, themes, and settings.
2. Import: Click Import to load a backup file. This allows you to move your calendar between computers or share it with a team member.

The “Danger Zone” (Clearing Data)

To prevent accidents, the “Clear” button is hidden inside the Settings (Gear Icon) menu at the very bottom.

• Surgical Clear: Select specific categories (e.g., just “Projects”) to clear only those events while keeping the rest of your year intact.
• Nuclear Reset: Type “DELETE” to wipe the entire year and start fresh. This preserves your settings but removes all events.

🖨 Printing

YearFlow is optimized for physical printing to hang on a wall.

1. Select Paper Size: Use the dropdown in the header to choose your target paper:

• 11×17 (Tabloid): The recommended size for maximum legibility.
• 11×14 (Legal): A good mid-sized option.
• 8.5×11 (Letter): Useful for personal handouts.

2. Fit to Page: Check this box to force the entire year to fit on a single sheet of paper (condenses text size). Uncheck it if you prefer larger text spanning multiple pages.
3. Print: Click the button. Ensure “Background Graphics” is enabled in your printer settings so the colored bars appear.

❓ Frequently Asked Questions

Q: Can I use this on my phone?

A: Yes, it works in mobile browsers, but because it is designed to show a “bird’s eye view” of 365 days, it is much easier to use on a desktop or tablet.

Q: Does this sync with Google Calendar or Outlook?

A: No. This is intentional. Google Calendar is for micro-management (what time is my meeting?). YearFlow is for macro-management (what is the shape of my year?). Keeping them separate helps you focus on high-level strategy without getting lost in the details.

Q: How do I get updates?

A: This file is self-contained. It will work forever as-is. If a new version is released, you would simply download the new .html file and Import your existing .json backup into it.

🚀 Primeros Pasos

No requiere instalación

1. Guarda el archivo YearFlow.html en tu computadora (por ejemplo, en tu carpeta de Documentos o de Aplicaciones).

🎨 Control Total: Personalización de Categorías

Una de las características más poderosas de YearFlow es su flexibilidad. Tú defines lo que importa.

Cómo gestionar categorías

1. Haz clic en el Icono de Engranaje (⚙) en el menú superior.
2. Renombrar: Escribe sobre cualquier nombre existente para cambiarlo.
3. Recolorear: Haz clic en el cuadro de color para elegir un nuevo color.
4. Reordenar: Haz clic y arrastra el controlador (⋮⋮) junto a cualquier categoría para moverla hacia arriba o hacia abajo.
5. Añadir/Eliminar: Usa los botones para añadir nuevas categorías o eliminar las antiguas.
6. Tema Global: Usa el menú desplegable “Tema de Color” para aplicar instantáneamente una paleta cohesiva (como Pastel, Tonos Tierra o Negrita).

Vistas Preestablecidas (Super Categorías)

¿Quieres ver solo tu horario de trabajo o solo los eventos de la iglesia? Puedes crear Vistas Preestablecidas.

• Configuración: En Configuración, ve a “Vistas Preestablecidas”. Crea un grupo (ej. “Modo Iglesia”) y marca las categorías que pertenecen a él.
• Uso: Aparecerá un nuevo botón en el encabezado principal. Al hacer clic, se activan esas categorías específicas.
• Lógica Aditiva: ¡Puedes apilar vistas! Haz clic en “Iglesia” para ver eventos del ministerio, luego haz clic en “Familia” para superponer tus eventos personales.

🛠 Características Principales

Añadir Eventos

• Haz clic en cualquier día para añadir un evento.
• Escribe el título de tu evento.
• Selecciona una categoría.
• Marca “Anual” si es un cumpleaños o aniversario. La aplicación creará copias automáticamente hasta 2030.
• Presiona Enter o haz clic en Guardar.

Edición y Movimiento (Arrastrar y Soltar)

• Mover: Haz clic y mantén presionado cualquier evento para arrastrarlo a una nueva fecha.
• Redimensionar: Pasa el cursor sobre el borde izquierdo o derecho de un evento hasta que veas un cursor de cambio de tamaño, luego arrastra para alargarlo o acortarlo.

Navegación (Controles de Vista)

Los controles superiores izquierdos te permiten ajustar cómo encaja el calendario en tu pantalla:

• Ajustar a Pantalla (⤢): Escala automáticamente el calendario para que todo el año quepa en la pantalla sin desplazarse. Ideal para proyectores.
• Zoom (+ / -): Ajusta manualmente el tamaño del texto.
• Hoy: Salta instantáneamente al mes actual.
• Mes de Inicio: Cambia el inicio de tu año (ej. “Sep” para un Año Académico o Fiscal).

La Columna “Tema”

En el extremo izquierdo del calendario, hay un cuadro de texto para cada mes. Úsalo para establecer una Intención Mensual o Enfoque (ej. “Mes de Misiones”, “Planificación de Presupuesto”).

📊 Tablero de Equilibrio de Vida

Haz clic en el Icono de Gráfico (📊) para ver un desglose de tu año. Calcula exactamente cuántos días están dedicados a cada categoría.

🔥 Mapa de Calor (Burnout)

Haz clic en el Icono de Llama (🔥) para activar el Mapa de Calor.

• Franjas Amarillas: Días con 2 eventos superpuestos.
• Franjas Rojas: Días con 3+ eventos superpuestos (Zona de Peligro).

🏖 Trucos PTO (Optimizador de Vacaciones)

Haz clic en el botón Trucos PTO para activar sugerencias automáticas de vacaciones basadas en los días festivos de EE. UU.

💾 Seguridad de Datos y Copias de Seguridad

¿Dónde están mis datos?

YearFlow es una herramienta privada y sin conexión. Tus datos se guardan en la memoria caché de tu navegador. No se guardan en ninguna nube.

⚠️ Importante: Si borras el caché de tu navegador o cambias de computadora, tu calendario aparecerá vacío.

Copia de Seguridad y Restauración

1. Exportar: Haz clic en Exportar para descargar un archivo .json con fecha y hora. ¡Guárdalo bien!
2. Importar: Haz clic en Importar para cargar un archivo de respaldo.

🖨 Impresión

Imprimir: Asegúrate de que “Gráficos de fondo” esté habilitado en la configuración de tu impresora.

Seleccionar Tamaño: Usa el menú desplegable (Tabloide 11×17 recomendado).
